Between now and the new year, most venues have their busiest weeks: more bookings, more walk-ins, and a calendar full of end-of-year celebrations.
The venues that run smoothly all summer are the ones that get organised early. So we’ve put together a cheat sheet, full of easy tips that take a few minutes to implement - but will get you so much more out of every dollar you spend.
Get your ordering sorted
1. Bring every supplier into one place
If you’re ordering by text, phone, email, and three different apps, the cracks will are likely to start showing now. One place for every supplier means one login, one order history, and one set of invoices.
Since many of the suppliers you work with are likely on Ordermentum (we have 1,000 suppliers across 25 categories!), you can start by adding those ones. If one of your regular suppliers isn’t on Ordermentum yet, it takes a few seconds to let them know you’d like to order that way.
2. Standing orders for your staples
Milk, bread, coffee. The things you can’t run out of on a warm, busy Saturday!
Set your staples up as standing orders and they’ll arrive on schedule without needing to remember.
As Jess Dufficy from Four Ate Five in Sydney puts it: "Sometimes we also forget to order, but that's saved by having standing orders in place for staples."
Top tip: Review your standing order quantities now. Your venue needs from July to December are likely to be quite different.

3. Switch on cut-off reminders
Every supplier has a cut-off, and the cut-offs get much stricter during the busy season. To avoid forgetting, you can manage your order reminders so you get a nudge before cut-off from the suppliers you order from most. The best part is that editing orders before cut-off is super easy.
4. Check supplier notes for holiday schedules
Public holidays mean changed delivery days, early cut-offs and adjusted opening hours.
Many suppliers use supplier notes on their profile to keep you informed, so keep an eye on these from November onwards. You can also use Chat to confirm details with your suppliers directly.

5. Stock up on packaging and takeaway gear
Warm weather means more takeaway, picnics and drinks on the go. Cups, lids, containers, and napkins disappear so fast when the weather warms up - and you don’t want to be caught short!
Check your packaging stock now and order ahead.

Freshen your menu and protect your margins
6. Refresh your menu for the warmer months - strategically
Spring produce is in, and customers want lighter plates, cold drinks, and something to take to the park. So we’re kicking things off with Before The Rush, where you can get free freight on your first order with a new supplier on Ordermentum (T&Cs apply).
Before the Rush runs from 12 to 25 October, and it’s an easy, fast way to refresh your menu with seasonal and trending products.
If you are planning to make changes to your menu, we suggest swapping 2 to 3 items at a time and checking the response within 2 to 6 weeks.
Need inspiration? Check out the trending products trending products venues have on their menus right now, then jump into the Ordermentum app to browse your suppliers’ seasonal products.
7. Know where you’re spending too much
Busy doesn’t always mean profitable, and even when your venue is full every day, your cost of goods can still be rising.
Use the Insights feature in the Ordermentum app to see what you’re spending by supplier and category in real time, with detailed COGS data. Check what’s moved since your last order, so price rises don’t eat into your margin without you noticing.
This is where tip number 1 pays off. The more suppliers you order through Ordermentum, the more accurately you can assess where you’re leaking money.

Keep cash flow under control
8. Set up payments once, then forget about them
Nobody wants to read card numbers over the phone mid-service. Add your card or direct debit in the app, and your invoices are paid automatically on the terms you already have with each supplier.
From 1 October 2026, businesses can no longer add a surcharge when you pay by Mastercard, Visa or American Express. That makes paying your suppliers by card simpler than ever.
Payments on Ordermentum are PCI-DSS compliant, and your details are never shared with anyone.

9. Sync your invoices automatically
More orders means more invoices. Connect Xero, MYOB, QuickBooks, and every Ordermentum invoice syncs automatically. No floating receipts, no manual data entry.
Get your team ready
10. Make ordering simple for everyone
When you’re busy, you’ll often have new casual staff and people working longer shifts, which means the ordering could get messy. Ordermentum lets you add specific team members to the app, so only the right people can order when you’re not on the floor.
You’re also able to save your favourite orders. New starters can reorder the usual from your order history without guessing quantities.
Get ready - and go!
When you look over the cheat sheet, do you notice a pattern? Standing orders, cut-off reminders, holiday notes, Insights, invoice syncing, team access… they all work best when your suppliers are in one place.
When every order runs through Ordermentum, your staples turn up on time. Your spend and prices sit in one view. Your invoices land in your accounting software without manual entry. Your team knows exactly how and what to order.
It’s all about simplifying your processes, so you can fly through the busy season and have time for the most important people of all: your customers.
